Privacy

The short version: this website stores the email address you give us for the beta, and nothing else. The app keeps your text on your machine. The long version follows, in plain words.

Last updated 27 October 2026. Applies to proofbird.app and to the Proofbird app for Windows.

Who is responsible

Proofbird is made by [legal name], a sole trader based in Italy. Under EU data protection law (the GDPR) that person is the controller of any personal data described on this page. You can reach us at [support address].

This website

What we store

When you join the beta list, the form sends your email address to a small function that runs on Cloudflare. It stores the address, in lower case, together with the date and time you signed up. That is the whole record. We do not store your name, your IP address, or anything about your browser.

We use the address for one purpose: to send you one message when a beta seat is ready, and if needed a short note about the beta itself. No newsletter, no marketing, and we do not pass the list to anyone.

What we do not do

Cloudflare

The site is served by Cloudflare, Inc., and the beta list lives in Cloudflare's key-value store. Cloudflare processes data on our behalf under its standard customer terms and data processing addendum, which include the EU standard contractual clauses for any transfer outside the EU. [check: Cloudflare KV replicates data globally; the list is therefore not stored in the EU only.] Like any host, Cloudflare sees the technical details of each request (your IP address, browser type, the page you asked for) to deliver the page and to block abuse. Cloudflare's own handling of that data is described in its privacy policy.

Why we may process it

You asked us to contact you about the beta, so we process the address to do what you asked (GDPR Article 6(1)(b), steps you requested before a contract) and because you consented when you pressed the button (Article 6(1)(a)). You can withdraw at any time.

How to be removed

Reply stop to any message we send you, or write to [support address] from the address you signed up with. We delete the record within a few days and confirm.

How long we keep it

Until the closed beta ends or until you ask to be removed, whichever comes first. When the beta ends we delete the list, unless you have in the meantime become a user and asked to stay in touch.

The app

Proofreading stays on your machine

Spelling, grammar, style checks and terminology run on models installed on your PC. Your text is not uploaded, and we do not log it. The app works with the network cable unplugged. There is no account to create, and the app does not send us usage statistics, crash reports or telemetry. [check: confirm no crash reporting is enabled in the beta build]

The app does connect to the internet for two things: to download the language models and dictionaries you choose to install, and to check for updates. [check: update check, and the hosts the model downloads come from] Those requests fetch files; they carry no text of yours.

AI engines are optional and yours

For rewrites, translation and the chat, you can connect an AI engine. Nothing is connected by default. Two kinds exist:

What gets sent is the text the feature needs: the sentences or paragraph you asked to rewrite or translate, the terms from your termbase that apply to it, and for the chat, what you type plus the passage you are working on. It is sent only when you use a feature you have assigned to that engine, and you choose which engine does what. Turn the engine off and nothing leaves your machine again.

Sign-in details and API keys for an engine are kept in Windows Credential Manager on your PC, not in a file and not with us.

What the app keeps locally

Your settings, your dictionaries and termbases, the installed models, and a cache of rewrite results so the app does not ask the same engine the same question twice all live in the app's folder under %APPDATA% on your PC. You can browse and clear the cache from the app's Data & storage page. Uninstalling the app leaves this folder for you to delete. [check: wording of the Data & storage page and uninstall behaviour at ship]

Diagnostic logs

The app writes a log file in that same folder to help us find bugs. The normal log records what the app did (which window it worked in, whether a correction applied, errors), not your text. If you switch on Verbose logging to help with a bug report, the log also records the exact text sent to and received from an AI engine. Either way the log stays on your PC until you decide to send it to us, and you can read it before you do.

The browser extension

The browser extension reads the text of the editor you are typing in and passes it to the Proofbird app on the same machine, over a local connection. It talks to nothing else. It needs the app running to do anything.

Your rights

For any personal data we hold, which today is at most your beta email address, you can ask us to show it to you, correct it, delete it, limit how we use it, or hand it over in a usable format, and you can object to our processing. Write to [support address]; we answer within a month. We do not make automated decisions about you.

If you think we have handled your data badly, you can complain to the Italian supervisory authority, the Garante per la protezione dei dati personali (garanteprivacy.it), or to the authority in the EU country where you live.

Changes

When this page changes, the date at the top changes with it. If a change matters to you, for example if the app ever started sending us anything it does not send today, we will say so in the app and on this page before it takes effect.
